Preregistration
Hello,
Again, thank you for choosing our Machiya house for your stay in Kyoto. We hope you will enjoy the machiya and return home with great memories of Kyoto.
First, about the check-in process
Following Japanese regulations, we have to ask you for a copy or scan of the passport of all the people in your party. We usually take care of this in an office next to Kyoto station. However, as we understand that this is not always convenient for everybody, we offer you the option to preregister directly with us before your arrival by providing us with these copies and information. By doing so, you will be able to go directly to the machiya house without having to go to the office first.
So please, at least three days before your check-in date, send us by email a scan (photo with a smartphone) of the first page of the passport of every person (with name, etc.) in your party. In addition, please download the following file, fill out the requested information, and email it to us (only one such form is requested per group). If you cannot print and scan, there is no problem simply copying and pasting the information into a simple email message.

Please, be sure to take care of this procedure at least three days before your check-in date!
If for any reason you cannot do that, we’ll ask you to go to our office near the Kyoto train station for the check-in procedure. Thank you in advance for your understanding and cooperation.
The Machiya features a numeric padlock (or a key box containing the house key) that requires a code. We will send you the code to open the lock (or the key box) a few days before your check-in date.
In addition, do not hesitate to contact us at any time if there is anything we can do to help you prepare for your stay in Kyoto, such as specific suggestions for visits, reservations for restaurants, etc. We’ll be glad to help. Note, however, that once you are in Kyoto and during your stay, you should contact our staff at the contact mentioned — we are not always in Kyoto and may not be able to get back to you in a timely manner.
